Charter of Project

Last Monday whem I was doing my routine jobs at my office my boss entered in my room along with a young guy wearing casual jeans and t-shirt and said "Mr. Umair he is my cousin Mr. Junaid and need your assistance he is doing masters program where his teacher asked him to prepare a sample of charter of project, so guide him that how we prepared the charter of a project". I rapidly drag a box file in which I filed all feasibility reports of projects and guide Mr. Junaid that how a charter for a project would be prepared, starting with the background of charter of a project that "charter of a project is prepared to ensure that all requirments regarding project will be framed in a program so that mistakes and ommissions of a project would minimize", basically charter of a project is merely a program or schedule in which detail outline of a project systematically form out. After spending three hours I was able to make him understand that what are do's and dont's of a project and fianlly within next one hour Mr. Junaid draw a sample of project that look like as follwos;

Project Name: Fabrication & Installation of Umair’s canopies all over Pakistan.

Client Name: Umair Pakistan Limited

Contractor: Ashar International

Petty Contractor: Rahs Services

Budget: 450,000/- in Pakistani Rupees

Project Background: Fabrication & Installation of 400 Umair’s canopies in B category outlets of following regions.

1- Karachi 160 Signs

2- Lahore 80 Signs

3- Islamabad 80 Signs

4- Peshawar 40 Signs

5- Quetta 40 Signs

Period: The time lines for fabrication will be 1-2 weeks and after completely fabrication of these canopies installed these round sings on the above mentioned regions in 4-6 weeks.

Purpose of Project: The purpose of this project is to brand enhancement of shop keeper and customer or end user from marketing & sales point of view.

Objectives: To gain or enhance market share either from existing customer or from new customer and build goodwill.

Limitation of Liability: Ashar International as being main contractor will monitor all the project on behalf of Umair Pakistan side by side Installation of canopies, the responsibility of Rahs Services will only fabrication of these canopies and in every circumstances Rahs Services will provide each information and details of fabrication process to Ashar International or anything else as deemed think fit by the Ashar International. The Rahs Services will provide its full cooperation to Ashar International.

Constraints & Difficulties: Ashar International will handle all Government Officials and provide them all details as per their requirements including matters regarding taxation and duties, registrations and other documentations however, taxes and duties will be reimbursed by the Umair Pakistan. As because Ashar International will be working on behalf of Umair Pakistan so the matters and problems regarding owners of shops, outlets and markets will also handled and tackled by the Ashar International.

Below are some extra steps that are practically involved to close down a project however these steps not the part of a charter of project but I am stated here for the interest of students or persons wanted to know about a project.


Intimations & Approval

1- Project intimation through email, telephonic or verbal conversation by the concerned authorities.

2- Preparation of Samples of products.

3- Approval of samples by the authorities.

4- Submission of estimates.

5- Approval of estimate through LOI or grant of Purchase Order.

Commencement of Project

1- Commencement of Product Installation in regions schedule wise.

2- Submission of proofs either Snap shots or delivery challans at ware house or other destinations as specified in LOI or Purchase order.

3- Submission of Invoice.
